FALCONS Meeting Minutes – August 21, 2025

Introduction & Announcements:

  • We have two new directors, Laura Lusk in Dryden and Christine Jordan in Weedsport
  • Motion to approve May 2025 minutes: Sandy motioned, no objections.

Old Business

  • eContent Committee
    • Heidi will be sending out an email about creating a selectors committee for digital content
    • Heidi and Wayne attended Digipalooza conference last week in Ohio.
    • FLLS joining NY State eBook working group to discuss leveraging buying power with Overdrive and other epublishers. First meeting in September
    • Overdrive pushing science of reading
    • Overdrive experimenting with AI. Also, how will we navigate AI entering into digital offerings
    • Overdrive contribution forms coming in October
  • Bulk Buy 2025
    • Working through staging computers
    • Currently unable to do remote support, including migrating computers, which may slow deployment
  • Princh
    • Have a quote for the libraries that responded “yes,” but had 1 library back out after the new quote sent
    • Getting a final quote and will submit a purchase order when it comes in
    • Martsje had a question about seeing the print jobs sent via Princh. Princh has a dashboard to release the jobs. Will also show price paid by patron.
  • Requesting New Polaris Userid
    • Reminder that staff needs to change their password and don’t skip the step to register with ADSelfService
    • Please notify us when staff leave so we can remove their Polaris login

New Business

  • 2026 Annual Budget
    • Brief overview of the Polaris budget to remind directors how their Polaris fees are used
    • Martsje asked about moving to Vega in 2026 and the cost.
      • Current PowerPAC will not be upgraded to meet new accessibility laws going into effect in 2026
      • Vega is accessible and moving to that beginning in 2026
      • Approximate cost is $32K plus a one-time install fee
      • Will not raise Polaris fees in 2026, additional information about funding will be forthcoming
    • Walked through budget line items
    • 2026 base fee of $5900 will not go up
  • Lost Item Policy
    • Creating new policy about handling lost, damaged, or missing items belonging to another library
    • Cover how libraries are reimbursed for lost, damaged, or missing items
    • Discussed how claimed items don’t currently offer reimbursement to owning library and this policy looks to address that
    • Will have open discussion and look to present the policy at November FALCONS

Open Discussion

  • Faronics Deep Freeze
    • Sent out email Wednesday night to check to make sure Deep Freeze Console is registered
    • Make sure public computers show Deep Freeze set to frozen
