MEMBER LIBRARY WEEKLY BULLETIN
No. 07-02 January 12, 2007
JAN AGUIRRE, Specialist & Training Coordinator
When you delete an item record, it now stays in the database and the statistical counts associated with that item are retained. The title of the item is also still linked to any fines accumulated and displays in Patron Status. The item record is given a record status of “deleted” which is searchable using the Find Tool.
However, the barcode attached to that item also is retained in the system and can no longer be reused. So, for the Out of System ILL’s that you create using an “On the Fly” record, and subsequently, delete when they are checked in, you can no longer use the same barcode over again. Each time you create an “On the Fly” record for an Out of System ILL, you MUST use a NEW barcode. Do NOT attempt to use any barcode over again.
Why was this changed? Before when an item was deleted, the circulation statistics on its use disappeared along with the item. This affected the circulation statistical reports based on use counts.
The item record no longer displays in PAC and is no longer searchable by author title or barcode.
However, if you bring up the Find Tool under Cataloging, Item Records
In the By box select Record Status
In the For box type in Deleted, limit to your library if desired
All items deleted by your Library will display.
You can also find the deleted item by searching for it by its control number.
Deleted items also display when using the Preview function when searching by BIB record. The record status shows “deleted” but the item is not available for holds and will not checkin or out.
This is what the item record looks like:
The Black X with a RED circle around it allows you to Undelete the item
The Black X will delete this item from the database (DO NOT USE THIS OPTION)
The Status shows Deleted
The Display in Pac box is unchecked

Last Week’s Question of the Week Gerald Ford was sworn in as Vice President on Dec. 6, 1973 after being confirmed by the House of Representatives and the Senate as set forth in the 25th Amendment to the Constitution. The confirmation vote in the Senate was 92-3. Who were the three senators who voted against his confirmation?
Julia Lon and I both used Google to learn that Senators William Hathaway (Maine), Gaylord Nelson (Wisconsin), and Thomas Eagleton (Missouri) voted against Ford’s confirmation as vice president. I used a “natural language” inquiry in Google; that is, I typed in the phrase “senators who voted against ford’s confirmation”. We both found the article: Ford, John, Ford’s legacy can still be enhanced Capital Times (Wisconsin) (12/28/06). http://www.madison.com/tct/opinion/column/index.php?ntid=112759.
Out of curiosity I went to http://access.newspaperarchive.com/, an archive of searchable newspaper pages going back to the 1700s, to check out the coverage of this vote when it occurred. Sure enough I found the article:
Ford ‘darn happy’ about Senate OK, Greeley Tribune (Colorado), (11/28/1973) which reported that both Nelson and Eagleton opposed Ford “because of his support for the Vietnam War and his opposition to strong civil rights legislation.” Hathaway said that, “Congress should first determine whether President Nixon will be impeached.”
This Week’s Question of the Week On Dec. 24 the Soufriere Hills volcano on Montserrat in the West Indies began a burst of activity; earlier this week, it “shot a cloud of ash more than five miles into the sky.”1 What is the capital of Montserrat?
1 Volcanic blast deemed “warning call” for Montserrat, The Star-Ledger (Newark, NJ), 01/09/07.

I have finally figured out how to extend the Polaris circulation sounds to the library computers and I have finished updating all of the Polaris Remote Desktop profiles to allow the sounds. As long as your computer has speakers and they are turned on with adequate volume you should have started hearing different sounds to alert you of popup dialogue boxes in Polaris Circulation.
The Polaris circulation events you should hear sound for are:
1-Polaris informational messages that do not require action, such as “Item was created on the fly”.
2-Polaris program errors, such as incorrect barcode or illegal function.
3-The Special Loan dialog box, calendar controls, and scanning barcodes.
4-Dialog boxes that are similar to errors or warnings, such as blocks and fines.
5-Error messages that present the user with options, such as renewal limits or holds.
If you aren’t hearing the alert sounds give us a call and we will remote control into your computer to verify the sound settings on your computer.
