MEMBER LIBRARY WEEKLY BULLETIN

No. 05-42                                                                                                                     December 9, 2005

Just one week until the December 15th System Meeting.  Please RSVP to Annette by Friday, December 9th (TODAY!) if you haven’t already done so.

Annual Reports Information

1.   You are now able to go to the Division of Library Development web site - http://www.nysl.nysed.gov/libdev/libs/index.html and scroll down to the orange boxes.  You will want to be looking at the right area which says: “Bibliostat Collect information (in .PDF format only)”.  You will be able to print out instructions, actual form, and changes.

2.   GOOD NEWS: There are no changes in this year’s report!  I repeat: The annual report has no changes this year!

3.   The Bibliostat Collect site is not available yet.  Even though it’s not up and running, I strongly encourage you to print out the report and start filling it out now.  It will allow you to be ahead when you can input your data online, and it will also allow you to generate questions.

4.   At this point, everyone is (hopefully) aware that we will not be dedicating a system meeting to the Annual Report.  I will be scheduling mini-workshops for interested individuals to come to FLLS with questions about the report.  There will also be times available for you to input the report here at the system where I’ll be around the corner if you have a problem.  I will not schedule these times until the site is up.

5.   Lastly…I will be sending out packets of handout helps for the annual report, after the first of January.  Hopefully, the site will be up by that time!  I will contact you when the site is up and available for data entry.

DVD Deposit Collections

In the last couple of years, we have been purchasing DVDs for the Finger Lakes Library System collection. We now have enough DVDs in our collection to be able to offer deposit collections to member libraries.

You will be receiving a ‘DVD Deposit Collection Request’ form in your delivery.  If you would like to receive a collection, please fill out the form and return it to my (Marisa) attention no later than Friday, December 30th

Polaris “Tip of the Week”

When you register a new patron, you must insert the last four digits of their phone number in the password field of their patron record. Polaris does NOT automatically insert this information. Patron records that were migrated from Dynix into Polaris did include this information, however “new” patrons registered must have this information entered manually by staff. We have discovered that most libraries are NOT doing this. We have identified over 3000 patron records that do NOT have a password entered in their patron record. A custom report has been created to identify those patrons who do NOT currently have a password in their record. This report is available in Report Manager on the Web and is entitled “AA-Patrons Without a Password”
