Hi All!

It's Annual Report time!  I would encourage you all to go the Library Development web site: http://www.nysl.nysed.gov/libdev/libs/ where you can print off the report.  My advice is to print the report and the major changes for this year.  You can also print off the instructions, but I would encourage you to hold off as they are lots of pages and, let's face it, you have done the report before and probably could do it in your sleep (let's hope not!). You might want to refer to the instructions as you need to from the web site.  

Our Annual Report Workshop will be at the next System Meeting - January 23rd - at the usual time. Maria Hazapis, the Annual Report Guru, will be visiting from Library Development to answer your questions about the report.  It would be very helpful if you could print off the report and go over it, filling in as much as possible and generating questions to ask Maria when you come to the meeting.

PLEASE INVITE YOUR TREASURER, FINANCIAL PERSON, OR WHOEVER DOES THE FINANCIAL PART OF THE REPORT.  Many of the questions that come up concerning the report relate to the financial section.  If your financial person cannot attend, please encourage them to look over the report and generate questions that you can ask in their place. 

I will be sending our more information concerning the workshop soon.  In the meantime, please mark it on your calendars…hope to see you there!

Gates Foundation Computers

I have been notified that the Gates Foundation has an upgrade for the Gates Computers which is scheduled for around the middle of February.  The upgrade includes the option to move from Windows NT to Windows 2000.  This includes both the workstations and servers. 

As with any upgrade there are pluses and minuses. 

A couple of the pluses are, the operating system is currently supported and will have enhanced security features, the Office software will be multi-lingual and your MS Encarta will be updated to the newest version.

A couple of the minuses are, the upgrade is a complete drive re-image which will erase and replace all of the current data and programs.  All current settings and configurations will be lost and a large share of the children’s programs are not included in the software upgrade and will also be lost.

I have a complete list of the software that is upgraded and/or lost which I will post to our Website in the near future.

Recently there has been a rash of "pirates" taking over children's authors' websites or waiting until the domain has elapsed. Occasionally the new sites are unsavory, but usually just portals. The ploy is, we suspect, that the authors will pay to have their domain returned.

A recent victim of this is Linda Sue Park, last year's Newbery winner. Her former website, lindasuepark.com is now a gambling portal. Her new site is lspark.com.

When filling out either the pink “Please process” or green “Expedited process” forms, please mark any of the boxes such as YA, J, E, and REF when appropriate. Do not assume that the decision we make with regard to the collection code will be what you wanted. For example, a REF designation for a collection code that one library may use may not be the choice of another library. If nothing is checked on the forms, we will use the collection code that we think is most appropriate.

I can not emphasize how important it is to enter the correct collection code and item type information into the Dynix holdings you create. Inaccurate data entered into the holdings will seriously compromise your statistics and report generating capabilities. If you are having problems with the procedure for creating and maintaining holdings, please let me know.
