ROBERT McLAUGHLIN, Bibliographic Database Services

Because we receive around 500 vendor cards or Dynix update forms each week, the amount of time preparing them for processing on Dynix can be substantial. To expedite this process, please adhere to the following suggestions:
Do not send in loose vendor cards and/or update forms. Before sending them in, please consolidate the cards and forms into two packets of each type.
Then make sure that each packet is held together securely using a paper clip or rubber band. Never use tape.
Make sure each vendor card or update form is clearly marked with the library key.
Make sure each vendor card or update form is edited or filled out correctly - especially call number information.
For libraries with Dynix circulation capabilities, it is not necessary to indicate on the vendor cards or update forms that a bib record was not found on Dynix. Nor is it necessary to indicate on the cards or forms that a fast-add or a short bib has been created. Merely attach the duplicate of the barcode on the card or form. Knowing this information is not relevant to the process of creating holdings on Dynix here at FLLS. If this information is relevant to local member library operations, please continue its use.
Send in vendor cards or update forms as you receive new materials. It is not to your advantage to let them accumulate unnecessarily before sending them in. The turnaround time at FLLS for processing cards or forms is about two weeks.
Please check each vendor card to make sure the title and subtitle information is correct. Many times the cards are based on prepublication information, and sometimes changes are made to the title or subtitle at the time of publication that are not indicated on the card.
Please make sure that you make any call number change (e.g. F changed to M, REF added, local Dewey number, etc.) on a vendor card before they are sent in. This will cut down on the number of changes that have to be made to holdings on Dynix at a later time.

If you have any problems or special situations, please contact me.
